Policies—Fees and Attendance
1. OPERATING TIMES
Aldon Tutoring Centres Victoria Point operates according to the State Government Gazetted school term dates and not according to private school dates which do vary considerably.
* We are OPEN on all State school days, student-free days and Wednesday during the Brisbane Exhibition.
* We are CLOSED on Public Holidays, State school holidays (except by arrangement) and the Redland City Show Holiday. MAKE-UP lessons for public holidays will be conducted on the Friday of the week on which the holiday falls, or on an alternate day by arrangement.
2. BOOKING FEE
To confirm your enrolment you will need to pay a booking fee equal to two sessions of tuition for each area in which you enrol your child. This fee will be used to pay for the final two sessions of tuition when enrolment is terminated.
3. SESSION FEE
The cost of tutoring is advertised. A discount will be offered for advance payment of fees—should you cease tutoring part way through a term, you will be refunded any remaining monies less an administration fee.
You will be advised in writing at least two weeks prior to any change in tutoring or administration fees.
4. PAYMENT OF FEES
For parents paying for tutoring by the session, payment is required at the commencement of tutoring sessions. This prevents congestion at changeovers and allows our assistants time to finalise bookkeeping before the end of the evening.
Payment may be paid by either:
* cash,
* cheque made payable to “Aldon Tutoring Centres Victoria Point”,
* EFTPOS, or by
* direct deposit
If you pay by direct deposit, the fees payable must be deposited on the working day before the tutoring session and, for verification purposes, you must advise us by email of the deposit.
5. CHANGES IN SESSION TIME
If you need to change a session time due to illness, school commitments, specialist appointments etc., please advise us as early as possible to facilitate make-ups and staffing.
6. LATE FOR TUTORING
It is important that you be punctual in getting your child to tutoring on time. If possible, do not drop students to tutoring more than 5 minutes prior to tutoring as supervision cannot be guaranteed.
If you are going to be late, we would appreciate your courtesy by telephoning us. If a student is more than 7 minutes late without explanation, we will attempt to contact you – this is for safety reasons. If you have forgotten please try to get your child to tutoring for the remainder of the session. Extra time cannot be given as this interferes with following sessions.
7. MISSED SESSION (where notice is given)
When notice is provided for an absence, and you elect to make up the session, the missed session must be made up within the current school term provided a suitable session time can be found. The missed session must be paid for within seven days of the absence.
Where you elect not to make up a missed session, or where a make up session cannot be organised, the full session fee is payable within seven days of the absence.
8. MISSED SESSIONS (where notice is not given)
When notice is not provided for an absence, you will forfeit the session and incur a fee equal to the fee that would normally be charged for the session. This fee is payable within seven days of the absence.
9. EXTENDED ABSENCE – (i.e. two or more consecutive sessions)
There are two options. You may either:
1. Suspend enrolment and pay 50% of the session fees to hold the timeslot, or
2. Cease enrolment – in this case, the timeslot will be opened to others. For students wanting to re-enrol, session fees will be the prevailing regular rate as for new students.
10. NON-PAYMENT
If you do not pay the tutoring fee at the time of tutoring (e.g. you request credit), you will incur an administration fee which must be paid within seven days. Credit will not be granted beyond one week.
If two sessions are missed or attended without payment, enrolment will be terminated automatically, and the holding fee retained to cover the outstanding payments. Enrolment will cease when this occurs. Legal action may be taken to recover unpaid fees, which may lead to further legal costs and court costs.
11. REFUND POLICY
On termination of enrolment, in the case where advance payment of sessions has been made, all unused monies will be refunded excepting an administration fee and where points 2 and 3 below apply.
1. Clients wishing to terminate tuition for their child(ren) must give at least 2 weeks’ notice either in person, by telephone or in writing. If less than 2 weeks’ notice is given, the session(s) missed will be charged to the client and deducted from any unused monies.
2. Where a discount has been given for advance payment of tuition, then each session already taken will be charged retrospectively at the regular rate before any calculation of refund.
12. TERMINATION OF TUTORING
Your child’s enrolment in tutoring continues from one school term to the next and from one year to the next until you inform us either by telephone or in writing of your decision to terminate tutoring.
Two tutoring sessions’ notice is required when terminating tuition.
